Terms & Conditions

Happy Place Caravans Ltd (we, us) acts as booking agent for private caravan owners (owners). We are entrusted by these owners to manage their advertising, bookings, guest communications, and the guest relationship with Butlins. Your holiday booking contract remains with the caravan owner, however Happy Place Caravans will facilitate all your holiday communications, and payments. We receive a commission for this service.

Bookings for the caravans in the Butlins Caravan Village are made in association with Butlins. We share guest information in order to facilitate identity checks, check-in and purchase of Butlins entertainment passes/wristbands.

General

The lead holidaymaker is the person who signs the booking form or, in the case of online booking, the person who makes the online payment.  This person is responsible for ensuring all members of the holiday party accept and adhere to these terms and conditions.  The holidaymaker is also referred to as “you”.

The property referred to is the caravan you are booking.

Bookings

Any discussion of bookings (including amendments) must be made by email to [email protected], and not via social media, telephone or messenger etc.

Details of all guests staying in the caravan are required at the time of booking. We will send out a further information request after the full or balance payment is made. This information is required by Butlin’s to process your booking and issue passes. This information includes dates of birth and postal addresses if different from booking leader.

By submitting a booking you confirm that no member of your party has a criminal record, entry on a criminal register or any record of any order indicating antisocial behaviour, violence, abuse, public disorder or criminal damage or any other form of anti-social behaviour detrimental or potentially detrimental to third parties enjoyment of the Butlins facilities by other site users. If it comes to Butlins attention that this term has been breached the owner, agent and Butlins reserves the right, in its absolute discretion to cancel your booking.

Only persons stated on the booking can occupy the caravan. If anyone is found to be in the caravan that is not on the booking, the whole party will be asked to leave without refund.

The booking leader must be over the age of 25. We are not able to accept bookings from groups under 30 years of age without prior agreement.

All bookings require the purchase of wristbands for all of your party. These are only available as part of the booking and not direct from Butlins. ​

Late Bookings

For bookings made within 72 hours of the intended start date, there is an additional £35 administration fee.

Booking Amendments

Of course you will need to pay any additional occupancy/wristband fees if applicable, plus amendment administration charges as follows:

  • Prior to the full payment of the balance – no additional fees.
  • After full payment of the balance – £35
  • Within 72 hours of your holiday start date – £45

If it is necessary to change the date of your holiday, we will attempt to accommodate your request, given sufficient notice. If this is not possible or practical, we recommend that you seek compensation from your insurance company.

Bedding

Duvets and pillows are provided for all beds. Waterproof mattress protectors and pillow protectors are fitted before your visit. A bed linen pack suitable for the size of your party is also provided free of charge and must be fitted by yourselves before the beds are used. Bedding is checked prior to your arrival and any soiled bedding is charged for and will be taken from your bond. If there is a little accident let us know please.

In some cases, where we are not sure whether you wish to use a double or single bed, extra bedding may be supplied. Please keep spare bedding in the bag seperate to the used bedding.

Where only one bed is used in a twin room, care must be taken to avoid soiling the other bed. Again, soiled duvets/matress protectors will be subject to a cleaning charge.

Deposits / Payment

A booking deposit is payable at time of booking being taken. The booking will only be confirmed once payment has cleared. Until such time that the booking is confirmed, it can be cancelled at any time without prior notice.

The balance of the rental charge, along with the damage bond, is payable not less than 8 weeks prior to the start of the holiday by the holidaymaker.  Please be sure to note the due dates of these payments. We issue reminders before and on the due date. Failure to pay in a timely manner will result in the cancellation of your booking. Charges as per the clause “cancellation by you” will apply.

Bookings made less than 8 weeks prior to the arrival date must be paid in full at the time of booking. Failure to do so may result in cancellation of your booking, and is considered “Cancellation by you”.

Cancellation

We strongly recommend that you take out holiday insurance to protect yourself in case you need to cancel for any reason. If the worst happens, and you need to cancel, please send a request by email to the sender address of your confirmation.

Cancellation by you

  • More than 8 weeks from start of stay – loss of deposit only
  • Less than 8 weeks from start of stay – 30% of full booking cost
  • Less than 6 weeks from start of stay – 40% of full booking cost
  • Less than 4 weeks from start of stay – 50% of full booking cost
  • Less than 3 weeks from start of stay – 75% of full booking cost
  • Less than 2 weeks from start of stay – 100% of full booking cost

In some circumstances we may agree to move your holiday to a later date, and carry forward any payments made.

Cancellation by us

We will endeavour to make sure the stated caravan is available for the dates agreed.  In the unlikely event the caravan is not available, we will offer alternative accommodation and/or dates. Additional charges or refunds may be applied if the alternative dates chosen vary in price. If it is necessary to move the booking to the following year, the current year’s rates will still apply.

No compensation or consequential losses shall be paid.

Lockdown Cover

Should Butlins be closed due to a lockdown for any reason then a full refund or change of date will be offered as per the above cancellation clause.

Miscellaneous

Whilst every care is taken to provide a true and accurate description of the caravan, over time, alterations can occur.  The holidaymaker accepts that no refunds are available on such discrepancies.

The caravan owner, their agents or representatives reserve the right to enter the property, at a reasonable time, in event of an emergency or remedial repair work being required.

The caravan owner is entitled to ask the holidaymaker to leave the property without notice, and without refund if, in the property owner’s opinion, the behaviour of the holidaymaker and/or their party is unacceptable.

The caravan owner reserves the right to refuses entry to anyone, who in the caravan owner’s opinion is not suitable to or capable of taking charge of the property.

The holidaymaker must not post any comments, photographs or videos etc., that could be considered defamatory, in any public domain, or on social media. Doing so would leave you at risk of prosecution.

If you have cause for complaint, please contact the owner or their agent as listed on the booking confirmation as soon as possible. We want you to enjoy your holiday, and will do our utmost to satisfy any issues quickly.

 

Electric Vehicles

The charging of electric vehicles from the caravan is strictly prohibited. Butlin’s security team keep their eye out for evidence of this, and if found to be in contravention of this rule, guests may be asked to leave immediately without refund, and lose their bond. The caravan wiring is not designed for this purpose. Not only does this put you and the caravan at risk, it is costly for the caravan owner.

Butlin’s do have appropriate charging points, please ask at caravan reception. Alternatively there are several locations in the surrounding area that have EV parking spaces. Visit Zap-Map.com for details.

Your Guests

Only the guests listed on your booking form are entitled to stay at the caravan. Any discrepancy will be considered a breach of the terms of your booking, and the holidaymaker and their party will be asked to leave immediately. No refunds will be due. Subletting or re-assignment of the caravan is prohibited.

Pets

A small dog would be accepted in Retreat 13 only, with prior arrangement, and for an additional fee.

All other vans are pet free to ensure allergy sufferers can safely inhabit our caravans. If we discover that pets have been brought in, you will be asked to leave without notice, and be charged for professional deep cleaning of carpets, beds and furnishings. No refunds will be given, and the bond will be forfeited.

Smoking

Smoking/Vaping is not permitted inside the caravan and if smoking outside please do not stub cigarettes out on the decking – it’s plastic and will mark, please dispose of any cigarette ends respectfully and do not leave them on the ground outside the caravan.

Evidence of smoking in the van, damage to the veranda, or extra cleaning work will result in you losing your bond.

Arrival and Departure Time

Every effort will be made to have the caravans available from 4pm on the day of arrival unless otherwise stated.  The caravan must be vacated by 10am on the day of departure.  Late departure will result in an additional charge being levied. Information about keys (you will receive two) and how to collect them will be provided once full payment has been received.

Please leave the caravan in a clean and tidy condition remembering to lock the doors and windows and do not forget to hand the issued keys back into reception or security on the gate. Loss or non-return of keys will be charged £50 for lock and key replacement, so please don’t forget!

Liability

The caravan owner takes no responsibility for the personal possessions of the holidaymaker or the holidaymaker’s party.  Vehicles and possessions are left entirely at the risk of the holidaymaker. Please ensure the caravan windows and doors are secure when unattended.

Children must be supervised at all times. Please be aware that cleaning products and cutlery may be in reach of children. If you feel that your child may be at risk, please put items out of their reach for the duration of your stay. It is your responsibility to keep them safe.

Cleaning

We respectfully ask that you treat the caravan as you would your own home and at the end of the holiday the caravan is left clean and tidy condition.  The caravan owner retains the right to make an additional charge for cleaning should the property not be left in a reasonably clean condition. Any items left behind can be posted at your cost.

Breakages

The holidaymaker must make every effort to keep the caravan, fixtures and fittings and all contents in the same state of repair and condition as at the start of the holiday.  Any accidental damage or breakage should be reported to the caravan owner (or their representative).  The caravan owner retains the right to make an additional charge for damage and breakages although it should be noted that minor breakages and reasonable wear and tear (in the opinion of the caravan owner) will not be charged for.

Caravan Village Rules

  • BB guns are not allowed anywhere on the park.
  • Ball games and the use of Frisbees or anything that could cause damage to the caravans, may only be used in designated areas away from the caravans.
  • Please be respectful of other residents, and keep noise down during the day, and especially after 9pm during family breaks.
  • Charging electric vehicles from the caravan is strictly forbidden. The caravan electricity installation is not designed for this purpose, and would be a fire risk.

Return of Damage Bond

Your damage bond, minus any deductions, will be returned to you within 7 working days of your stay.

Furthermore, in the event of damage or costs significantly exceeding the bond, we reserve the right to seek compensation to the value of costs incurred from the booking leader, whom is ultimately responsible for the booking.

Contagious Diseases (including Covid-19)

Should Butlins become aware, or have reasonable grounds for suspicion, that a guest has contracted a contagious disease that has the potential to infect a large number of people quickly, they and their party will be required to leave the resort. If this is not possible, then restrictions will be placed upon their activities and movements in order to prevent the disease being transmitted to other guests.

Should you develop symptoms of Covid-19 or other contageous disease you must inform us immediately and vacate the caravan. Under no circumstances are you allowed to self-isolate in the caravan. Butlins will also need to be informed.

The caravan will be deep cleaned the caravan after you have left.

We are unable to offer any refund in such circumstances and strongly recommend that guests obtain suitable holiday insurance prior to travel to cover any such eventuality.

The Big Weekend breaks currently have no additional restrictions except for the presentation of photo-id for all members of your party, It is not our responsibility to ensure you and your party comply. No refunds can be given for failure to comply.

Unreasonable Behaviour

Please show consideration to other guests and Butlins team members and treat the facilities with respect. Offensive or illegal behaviour and excessive noise will not be tolerated. If guests fail to comply with these rules, their contract may be terminated and they and their party will be asked to leave the resort immediately (without refunds).

Contracts will also be terminated if Butlins has a reasonable suspicion that any guest has committed, or intends to commit, an offence.

Please treat your caravan accommodation with care and respect. All our caravans are inspected before and after each holiday. You will be held responsible for any damage caused during your stay. Damage to your caravan may also result in the termination of the holiday with no compensation.

Other information

On departure, please leave your caravan in a clean and tidy condition. Check your caravan carefully prior to departure, as we do not accept liability for items left behind, but where items found may be sent at your cost. We reserve the right to charge you, during or after your stay, for any loss or damage to our property. Furthermore, in the event of damage preventing the next guests from enjoying their holiday, it may be necessary to involve the police, not least for our insurers, and we would seek compensation for costs in full.

In addition to the rights of owners, agents and their representatives, Butlins reserve the right to enter caravan accommodation at any time and for any reason, to ensure the safety and wellbeing of all of our guests.

Cars are parked at owners’ risk at all times on the Caravan Village and main Resort, and should only be parked in designated parking bays.

Butlins reserves the right to require any guests be interviewed by them, on Butlins premises, to enable us to look into instances of damage or nuisance to Butlins property or guests. Any person who refuses to comply, without a reasonable excuse, will be treated as having terminated their contract. They and their party will then be asked to leave the resort immediately and refunds will not be given. Butlins reserve the right of entry to our resorts, and the right to refuse entry to our resorts without notice.

Complaints

We sincerely hope that you have no reason to complain about your holiday, and in particular the caravan. However, if everything is not to your satisfaction, you must contact us directly in the first instance without delay, and give us the opportunity to make things right. If we are unable to reach a reasonable solution or agreement, we may, at our discretion, offer some compensation. You do not have the right to any refund unless in all party’s opinions, you are unable to commence your holiday.
